How quickly does a buyer lead reach your sales team?

When a homebuyer clicks “contact” on one of your new home listings, how long does it take before someone on your team knows about it? Is it a few seconds, a few minutes, an hour, or does no one really know?

Builders spend a tremendous amount of time and money getting prospective buyers to that moment. They invest in advertising, search, listing portals, websites, social media, CRM systems and other technologies designed to generate interest. The listing itself also must be right. The pricing, photos, property details and availability all need to give the buyer enough confidence to take the next step.

Then the buyer finally raises their hand and asks for more information. At that point, speed becomes part of the sales process.

The buyer does not know how your lead-routing system works, and they probably do not care. They simply know they asked a question and are waiting for an answer. At the same time, they may be looking at other homes, other communities and other builders, which means their attention is already being competed for.

Lead generation and lead delivery are not the same thing

A marketing report may show that a campaign generated 100 leads. That tells you buyers responded, but it does not necessarily tell you how quickly those inquiries reached the people who could act on them.

A lead can be successfully generated and still be poorly handled during the handoff. If an inquiry sits in an inbox, waits for someone to manually forward it or gets caught between systems, the marketing campaign still gets credit for producing the lead. From a reporting standpoint, everything may look fine even though valuable time has been lost.

That is why builders should look beyond how many leads they generate and start asking another question: How quickly do those leads get there?

Speed does not guarantee a sale, but unnecessary delay creates a disadvantage before the sales conversation even begins.

The first job is getting the inquiry into the builder’s hands

This is not about expecting every salesperson to respond within seconds. Builders still need to establish response standards, determine who owns each lead, create follow-up procedures and measure what happens after the inquiry reaches the sales team.

But those steps only matter once the lead arrives.

This is where the handoff becomes critical. A builder should not have to depend on someone manually checking messages, reviewing an inquiry and forwarding it to the right person. Every extra step creates another opportunity for delay.
